Purpose of This Step
This step turns agreement into action.
The goal is to:
- secure committed funds for execution
- activate board members into their chosen roles
- begin outreach immediately without confusion
Do not delay this step.
Momentum matters.
Step 1: Send the Execution Support Donation Email
Within 24 hours of the planning session:
- Email board members who verbally committed to supporting the fundraising execution financially
- Include the organization’s donation link
- Reference what was agreed in the meeting
- Keep the message short and direct
This is not a fundraising appeal.
It is a follow-through on a commitment already made.
Step 2: Send the Relationship Mapping Email to the Full Board
Also within 24 hours, send a separate email to all board members with:
- A brief message thanking them for participating
- A clear explanation of why relationship mapping matters
- The Relationship Mapping Form link
This form allows board members to:
- list individuals, businesses, and organizations they know
- identify which contacts align with your ideal funding audience
- indicate willingness to make introductions or support outreach
Do not pre-judge names.
Let the process surface opportunities.
Step 3: Prepare Board Member Execution Portfolios
This is where clarity becomes personal.
What You Will Do
Take the meeting minutes from the execution planning session
Paste the minutes into the AI tool
Use the AI prompt provided to generate:
- a personalized execution portfolio for each board member
- clear responsibilities
- next actions
- expectations for their role
Each portfolio should answer:
- What am I responsible for?
- What does success look like?
- What do I do first?
Step 4: Send Individual Portfolio Emails
Once portfolios are generated:
- Send each board member their personal execution portfolio
- Use the AI-generated email provided to introduce it
- Reinforce appreciation and clarity
- Invite questions, not renegotiation
This step eliminates confusion and excuses.
Important Guidelines for Founders
- Do not batch everything into one email
- Do not soften commitments after the meeting
- Do not delay follow-up beyond 24 hours
- Do not re-explain what was already agreed
